Journey Through Employee Onboarding with Proliant

What is Employee Onboarding? 

Employee onboarding is the process by which new hires become engaged and thriving employees. During this process, new hires will fill out paperwork and learn about the organization that hired them. Employee onboarding is also “critical for success within an organization as it is where employers make their first impression and lay the groundwork for the employee experience,” says Natasha Goehring, Proliant onboarding specialist.

There are many strategies for effectively onboarding an employee. However, according to SHRM, every employee onboarding journey should include The Four C’s to ensure an excellent experience for new hires: 

Compliance: Teach employees policies and regulations. 

Clarification: Explain expectations and details of the job role. 

Culture: Introduce new hires to day-to-day life in the organization. 

Connection: Ensure employees know who to contact about the various aspects of their job.

Stage 1: Kim’s Information Transfers from ATS to Onboarding System Immediately

Kim finds a job on Indeed and clicks to apply. She is taken to an application within Proliant’s Applicant Tracking System to provide her resume and other essential information. 

Notes: Candidates provide their information to Proliant’s Applicant Tracking System. 

Hiring managers can schedule interviews and other communications through this system.  

The candidate's data is captured here and is easily transferred to the Employee Onboarding tool if they are hired. 

Stage 2: Kim Begins Onboarding Process in the New Hire Portal

Kim is offered employment with the company and accepts their offer. She can now begin the Proliant Employee Onboarding process. 

Kim creates an account in the new hire portal and fills out the company’s onboarding forms. She can also access documents with information about the company, her role, and expectations. 

Stage 3: I9 Form Filled and Signed

Now Kim fills out Section 1 of her I9 form and is prompted to sign it electronically.

Stage 4: Kim Provides Essential Information

After Kim completes her I9 form, she receives a prompt to complete the My Info section, including the following information: 

  • Address
  • Emergency Contact
  • Demographics
  • Veteran Status
  • Disability Status 

Stage 5: Kim Fills Out Necessary Tax Forms

Now that Kim has added all of her information to My Info, she moves on to Pay & Taxes. This section includes: 

  • Federal Taxes
  • Residency State Tax (depending on location)
  • W-2/1099
  • Deductions
  • Direct Deposit
  • Payroll Statements
  • WOTC forms

Kim can use the help feature to assist with any questions she might have about the forms in this section. 

Stage 6: Kim Receives Employee Handbook and Company Policies

After Kim completes all of the pay and tax forms, she gets her handbook and information about the company's policies and regulations in the Proliant system. 

Stage 7: Kim Reviews and Submits Onboarding Paperwork

Finally, Kim reviews everything and submits her paperwork. Kim was able to do all of this before her first day so that she could spend that time in the office getting to know her surroundings, meeting coworkers, and gathering essential communication information.
